Receptionist

The Receptionist is often the first point of contact for community members, visitors, employees,
service providers, and callers. The role provides basic front-desk and administrative support while
helping maintain a welcoming, respectful, organized, and confidential Administration Office.
KEY RESPONSIBILITIES
- Answer incoming telephone calls politely and professionally, direct calls, and take clear
and accurate messages. - Welcome visitors, determine the purpose of their visit, notify the appropriate employee,
and follow visitor sign-in, safety, and security procedures. - Receive, date-stamp, sort, log, and distribute incoming and outgoing mail, parcels, and
courier deliveries. - Assist with outgoing mail and courier items and maintain related records as instructed.
- Complete routine photocopying, scanning, filing, and message delivery, and keep the
reception desk and waiting area orderly. - Protect confidential information, keep records and conversations secure, and report
privacy or security concerns promptly. - Attend scheduled shifts reliably and punctually, follow workplace policies and
instructions, and complete other related entry-level duties as assigned.
QUALIFICATIONS - Reliable, punctual, honest, respectful, discreet, and able to maintain confidentiality.
- Clear verbal communication and active listening, together with basic reading, writing, and recordkeeping skills.
- Basic computer skills, or the willingness and ability to learn email, scanning, and other simple
office systems. - Ability to follow instructions, ask questions when unsure, remain organized, and complete
routine tasks accurately. - Ability to remain calm and professional and to seek assistance when a caller or visitor has a
concern outside the authority of the position.
