Shoal Lake 40 First Nation is seeking a qualified and dedicated individual for the position of School Secretary at the Harvey Redsky Memorial School. Classrooms consist of Junior Kindergarten through Grade 8, with a staff complement of twenty-two (22).

The position requires strong administrative skill sets and organizational support to ensure effective day-to-day operations. This role manages documentation, communications, meeting coordination, and compliance-related processes.

Key Responsibilities:

Coordinate and manage the organization’s correspondence, reports, and official documentation.

Organize and schedule staff meetings, including agendas, minutes, and follow-up actions.

Maintain accurate records of decisions, student and staff attendance, and action items.

Prepare summaries for the school principal and ensuring timely submission.

Support communication between staff, members, and external stakeholders.

Manage administrative processes related to filings, renewals, documentations, e.g. Ontario Student Records (OSR), Personnel Files, and maintaining business records and forms.

Oversee document control and ensure confidentiality and proper recordkeeping.

Support event planning/logistics as assigned.

Perform other duties as required by the School Principal.

Be willing to train and travel.

Ability to speak or understand the Ojibwe Language would be an asset, but not necessary.

Culturally sensitive to the Nation’s language, traditions and faiths.

Qualifications:

Administrative Certification with several years experience in a related field.

Proven experience in an administrative, secretarial, and executive support.

Strong knowledge of office administration, documentation, and records management.

Excellent written and verbal communication skills.

Strong organizational skills and attention to detail.

Proficiency in MS Office/Google Workspace (Word, Excel, PowerPoint, Outlook/Gmail).

Ability to handle confidential information professionally, work independently anage multiple priorities.
